These Terms govern your use of the wardiansystems.com website and describe the general terms on which Wardian Systems (“Wardian,” “we,” “us”) provides its services. Any services engagement is also governed by a separate written proposal or scope of work, which controls if it conflicts with these Terms. This website is informational; using it does not by itself create a client relationship.
Wardian Systems designs and deploys private, on-premises document-search and question-answering (“RAG”) systems for businesses. We assess a client’s records, clean and index them, bundle a local language model, and install a self-contained system on hardware the client controls. Every engagement is quoted individually after a free assessment and is governed by a separate written proposal or scope of work (the “Engagement Agreement”).
The assessment is a no-obligation conversation and written scope. It is not a commitment by either party to proceed. Any prices or ranges shown on this website are illustrative, not quotes; final pricing depends on data volume, condition, and scope, and is set in the Engagement Agreement.
To deliver a working system we rely on you to provide access to the records to be indexed, suitable hardware (or to purchase hardware we recommend), network access for deployment, and timely review and answers. We are not responsible for delays or results caused by incomplete, inaccurate, or inaccessible source records.
A Wardian system answers only from the documents it was given. It does not browse the internet and cannot know information outside the records provided to it. It may occasionally return incomplete or incorrect answers, particularly where source records are ambiguous, inconsistent, or missing. It is a tool to assist people, not a substitute for professional judgment (legal, financial, medical, or otherwise), and you are responsible for verifying answers before relying on them. We make no representation that the system will achieve any specific result or level of accuracy except as expressly stated in the Engagement Agreement.
On completion and full payment, you own the deployed system, its index, and the documentation and scripts we hand over, as described in the Engagement Agreement. Wardian retains ownership of its own pre-existing methods, tooling, templates, and know-how, and any general-purpose or open-source components remain subject to their own licenses. We never take ownership of your records; we use them only as needed to perform the work.
We treat the records and business information you share with us as confidential. During a build we handle your data only as needed to deliver the system, keep it on systems we control for the shortest time reasonably necessary, do not sell or share it, use no third-party cloud AI services to process it, and delete our working copies after handoff on request. Our handling of client data is described further in our Privacy Policy and the Engagement Agreement.
Website visitors are not charged. Fees for services are set in the Engagement Agreement and invoiced directly. Project fees are one-time unless a support or maintenance retainer is separately agreed. Invoices are due on the terms shown on the invoice.
You may use this website for lawful, informational purposes only. You may not misuse it, attempt to disrupt or gain unauthorized access to it, scrape it at scale, or use it to infringe others’ rights. The website’s content, design, and text are owned by Wardian Systems.
We use Cal.com to schedule assessments and Google Fonts to load typefaces. When you book, or when your browser loads a page, limited information is handled by those providers under their own terms and privacy policies. See our Privacy Policy.
The website and any pre-engagement materials are provided on an “AS-IS” and “AS-AVAILABLE” basis, without warranties of any kind, express or implied, including MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, and NON-INFRINGEMENT. Any warranties for delivered services are only those stated in the Engagement Agreement.
To the fullest extent permitted by law, Wardian Systems will not be liable for indirect, incidental, consequential, special, or punitive damages, or for lost profits or data, arising from the website or our services. Our total liability arising out of an engagement will not exceed the fees paid for that engagement; our total liability arising out of the website, absent an engagement, will not exceed US $100.
You agree to defend, indemnify, and hold harmless Wardian Systems from claims arising out of your misuse of the website, your breach of these Terms, or any content or records you provide that you did not have the right to provide.
These Terms are governed by the laws of the State of Alaska, without regard to conflict-of-laws rules, and any disputes will be resolved in the courts located in Fairbanks, Alaska.
We may update these Terms; the “last updated” date above shows when. Continued use of the website after a change means you accept it.

This policy explains what information the wardiansystems.com website collects and how we handle it — and separately, how we treat client records during a services engagement.
The heart of what we do is keeping your data private. When we build a system for you, your source documents are handled only under the Engagement Agreement: we use them solely to build and index your system, keep them on systems we control for the shortest time reasonably necessary, never sell or share them, use no third-party cloud AI services to process them, and delete our working copies after handoff on request. The finished system runs on hardware you control and is designed so your data does not leave your network. This section governs client project data; the sections below govern the website.
We do not sell your personal information.
To respond to you; to schedule and prepare for assessments; to provide and improve our services; to send information you request; to keep records for tax and accounting; and to comply with law.
Service providers that help us operate — currently Cal.com (scheduling) and our email and phone providers — acting on our behalf. We may disclose information where required by law or in connection with a business transfer (merger, sale, or acquisition). We do not sell, rent, or trade personal information.
Booking and contact records are kept as long as needed to serve you and to meet tax, accounting, and legal obligations, then deleted or anonymized. Client project data is handled per Section 1 and the Engagement Agreement.
We use reasonable administrative and technical safeguards and rely on the security of the providers we use. No method of transmission or storage is 100% secure.
Our website and services are intended for businesses and adults. We do not knowingly collect information from anyone under 18.
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. To exercise these rights, email support@wardiansystems.com; we may need to verify your identity.
Residents of California and other states with privacy laws may have additional rights. Categories we may collect: identifiers (name, email, phone), commercial information (assessment and booking records), and internet activity (for example, an IP address via font loading). We do not collect biometric data, precise geolocation, or sensitive personal information through the website, and we do not sell personal information. To make a request, contact us below.
The website does not track you across other sites and does not respond differently to browser Do-Not-Track signals.
